How we set up catering for large groups
Booking catering for large groups usually starts with a short brief rather than a long process. Most corporate event organisers contact us with a guest count, a date and a venue in mind, and we take it from there in three steps.
- Brief: Tell us the event type, guest numbers (whether that is 50, 100 or 200 or more), venue, date and any dietary groups to plan for. We ask about service style preference - buffet, plated, canapé or a mix - and any live-station interest.
- Tasting: We offer a free tasting before you book, so you can review the dishes we propose for your headcount and confirm the menu with your own team present. This is also when we confirm timings and setup requirements for your venue.
- Delivery: On the day, our own delivery, setup and serving team arrives with equipment, sets the service area, runs the event, and clears down afterwards. You are not left coordinating multiple external teams.
Because we hold our own kitchens in Abu Dhabi Industrial City (ICAD II) and cook more than 7,000 meals daily, we can plan for large guest counts without last-minute sourcing. We quote after the tasting, once your final menu and numbers are confirmed, so there are no assumptions before you have tasted the food.
This approach works the same way whether your event is in Abu Dhabi, Dubai, Sharjah or elsewhere in the UAE - the brief and tasting stage is where we agree logistics specific to your venue, including loading access, service timing and any equipment your venue does not provide.
For organisers managing an event with a tight lead time, mention this at brief stage; our own kitchen and delivery team gives us more flexibility on turnaround than businesses relying on external hire.
Buffet, plated, canapé or live-station: which fits your event
The right service style for a large-group event depends on guest numbers, venue layout and how formal the occasion is. We run all four styles regularly across Abu Dhabi, Dubai and Sharjah and will recommend one at brief stage based on your event details.
- Buffet: Well suited to guest counts from around 50 upward where flexibility and variety matter more than a fixed seating plan - common for conferences, training days and staff gatherings. Our team manages the buffet line, replenishment and clear-down throughout service.
- Plated: Best for formal corporate dinners, award evenings or client entertaining where a seated, timed course sequence is expected. Plated service needs more lead time to confirm covers and course timing, which we agree at the tasting.
- Canapé: Suited to receptions, launches and networking events where guests circulate rather than sit. We recommend a spread of hot and cold canapé options from our range so there is enough variety across a longer service window.
- Live stations: Grill, pasta, shawarma-carving or a crepe and waffle station add visible preparation and work well alongside a buffet or canapé format for larger events, particularly where guests are moving between areas.
Many large events combine styles - a canapé reception followed by a plated dinner, or a buffet with one live station for variety. We help you decide this during the brief and tasting stage, based on your venue's space, your running order and your guest numbers, so the service style matches how the event will actually run rather than a default choice.
What happens on the day of your event
For any event with a large guest count, timing and setup discipline matter more than menu alone. Our own delivery, setup and serving team manages the full sequence on-site, so your organising team can focus on guests rather than logistics.
We agree an arrival time with enough margin before service to set up buffet lines, plated service stations or canapé passing routes, position any live stations, and check equipment against the plan confirmed at your tasting. For venues in Abu Dhabi, Dubai or Sharjah, we factor in loading access, service room layout and any venue-specific restrictions into this arrival window.
During service, our team handles replenishment for buffet events, course timing for plated dinners, and steady rotation for canapé and live-station formats, adjusting pace to how quickly the room is moving. For a 200-guest gala or a 50-person breakfast alike, the same team structure applies - scaled to your numbers rather than run as a smaller version of the same plan.
Dietary requirements confirmed at brief stage are prepared and, where relevant, labelled or served separately so guests with specific needs are not searching the buffet or waiting on a plated course. Any last-minute adjustments on the day are communicated directly with our on-site lead rather than routed back through a call centre.
Once service ends, clear-down includes removing all catering equipment, service ware and waste associated with the meal, returning the venue to its prior state within an agreed window. We do not leave equipment or staging behind for your team to manage.
Throughout the day, one point of contact from our serving team is available on-site, so any change in timing, guest numbers or running order can be handled directly and quickly, without delay to your event schedule.
Why organisers choose Dana Prime for large-group events
Dana Prime has operated since 1998, cooking from our own kitchens in Abu Dhabi Industrial City (ICAD II). We prepare more than 7,000 meals daily, which means capacity for a large corporate event is planned around established daily production, not scaled up specially for one booking.
We hold both ISO 22000 and HACCP certification, covering food safety management across our kitchen and delivery process. Documentation is available on request, alongside our capability statement, so your procurement or facilities team can review compliance before confirming a booking.
Unlike arrangements that rely on hired-in staff for the day, we run our own delivery, setup and serving team for every event. This means the same standards apply whether your event is a 50-person breakfast meeting or a 200-guest gala, and any change in running order on the day is handled by our own people rather than a subcontracted crew unfamiliar with our process.
Our menu range spans 136 dishes across 16 courses, built up over more than two decades of service to corporate clients across Abu Dhabi, Dubai, Sharjah and the wider UAE. We currently support 22 client organisations on an ongoing basis, in addition to one-off event bookings, and hold a 4.6-star Google rating from guests and organisers we have served.
We offer a free tasting before you book, so you can assess the food, discuss your event details face to face, and confirm menu, service style and logistics before any commitment is made. We quote after the tasting - once your numbers, menu and service style are final - so you are never asked to commit based on assumptions.
For organisers checking references, we can share details of ongoing client relationships and provide our documentation pack on request, so your decision is based on verifiable information rather than promotional claims.
