How large event catering is arranged, from first message to service
Corporate organisers booking large event catering in Abu Dhabi usually work to a fixed date and a headcount that can shift until the final week. Our process is built around that reality, with three clear steps between your first enquiry and the day itself.
- Brief: you send us the event date, venue, expected headcount, service style preference and any dietary requirements. We confirm feasibility against our kitchen capacity and your date, then propose a menu drawn from our 16 courses.
- Tasting: before you commit to anything, we run a free tasting so your team can assess the dishes, portioning and presentation. This is where headcount, service style and menu are finalised together, and where we quote after the tasting rather than before it.
- Delivery: our own delivery, setup and serving team handles transport, on-site setup, live service and clear-down, so your organising team is not managing catering logistics on the day.
This sequence works whether the event is a single-site company gathering in Abu Dhabi, a conference lunch in Dubai, or a multi-day programme across venues in Sharjah. Because we operate our own kitchens in Abu Dhabi Industrial City (ICAD II) and our own logistics team rather than subcontracting either, the same team that tastes with you is accountable for what arrives on the day.
For organisers managing multiple internal approvals, we can provide a written menu proposal and a docpack of certificates alongside the tasting invitation, so procurement and hygiene sign-off can run in parallel with menu selection. Ask for both when you first get in touch, and we will structure the timeline around your event date rather than a generic lead time.
Choosing between buffet, plated, canapé and live-station service
The right service style depends on your guest count, room layout and how much time is allocated to the meal itself, and organisers often combine more than one style within a single event.
- Buffet service suits large headcounts where guests move at their own pace, such as an all-staff gathering or an awards lunch. It requires more floor space for serving lines but moves large numbers through efficiently once stations are set.
- Plated service suits formal seated events - conferences with a fixed programme, gala dinners, or leadership lunches - where timing is controlled from the kitchen and courses are served in sequence to every table together.
- Canapé service suits receptions, product launches and networking sessions where guests are standing and circulating rather than seated. It allows a wider variety of small dishes without extending the service window.
- Live stations - such as the pasta live station, sushi counter or crepe and waffle station - work well as a complement to buffet or canapé service, adding a visible, interactive element for larger events where guests have time to wait and watch.
For a single event we can combine styles, for example canapés during a networking hour followed by a plated dinner, or a buffet main service with a live dessert station. Our serving team is briefed on the running order in advance so transitions between styles happen without disrupting your event programme. We size the serving team and equipment to your guest count and venue layout, confirmed once the headcount is set at the tasting stage.
Setup, service and clear-down on the day of your event
On the day itself, our own delivery, setup and serving team arrives at the agreed time to set up service points, plate warming and any live stations ahead of your guests' arrival, working to the timeline agreed at the tasting stage.
- Arrival and setup: we work back from your guest arrival time to allow for equipment setup, food safety checks on arrival temperature, and a final walk-through with your on-site contact before doors open.
- Service: our serving team manages the buffet line, plated courses or canapé circulation for the agreed duration, adjusting pace if your programme runs ahead of or behind schedule.
- Live stations: where live cooking is part of the menu, chefs work the station throughout service rather than pre-preparing everything, which is part of what a live station is meant to offer guests.
- Clear-down: once service ends, our team clears equipment, packaging and waste from the venue, leaving the space as agreed with your venue management.
Because setup, service and clear-down are handled by our own team rather than a third party, we can hold a single point of contact with your on-site organiser throughout the day, which matters most when a programme changes at short notice - a delayed keynote, an extended networking session, or a headcount that arrives higher than confirmed. We keep contingency stock for exactly this reason. If your venue has specific access, loading or timing restrictions, share these at the brief stage so our logistics team can plan the vehicle and crew schedule around them in advance, not on the day.
Why corporate organisers choose Dana Prime for large event catering
Dana Prime has operated since 1998, and our kitchens in Abu Dhabi Industrial City (ICAD II) cook more than 7,000 meals daily, which is the capacity base that lets us take on large corporate events without treating them as an exception to our normal operation. We currently serve 22 client organisations across Abu Dhabi, Dubai, Sharjah and the wider UAE, several on an ongoing service basis alongside one-off events.
- Own team, start to finish: delivery, setup and serving are handled by our own staff, not subcontracted, so the same organisation that tastes the menu with you is the one serving it.
- Capacity for scale: 136 dishes across 16 courses gives enough range to build a distinct menu for each event, while our daily kitchen output means a large guest count does not strain the kitchen on the day.
- Certified hygiene standards: we hold ISO 22000 and HACCP certification, and can share the certificates directly with your procurement or facilities team ahead of approval.
- Free tasting before booking: every menu is tasted before it is confirmed, so there is no guesswork about what will be served to your guests.
Our 4.6-star Google rating reflects repeat engagement from organisers who have booked more than one event with us, and we are glad to discuss references from our client organisations directly - ask at the brief stage and we will arrange an introduction where the client agrees. For an event with a fixed date, a clear headcount and a venue that needs a catering partner it does not have to manage on the day, this is the operating model we have run since 1998.
